How Lectora Online and CourseMill Were Used to Create a Blended Learning Portal for the TORONTO 2015 Pan Am/Parapan Am Games

The Pan American Games are the world’s third largest international multi-sport games, held every four years along with the Parapan American Games. The first Pan American Games were held in Buenos Aires, Argentina, in 1951. The inaugural Parapan American Games were later held in Mexico City in 1999.

In 2015, Toronto hosted the joint Pan Am/Parapan Am Games with close to 7,000 athletes from 41 countries across Latin America, South America, the Caribbean, and North America. 1.4 million spectators came to see the TORONTO 2015 Games in 36 Pan Am Sports and 15 Parapan Am sports.

Challenge

The TORONTO 2015 Pan Am/Parapan Am Games Organizing Committee was responsible for planning, managing, and delivering the Toronto 2015 Games, which included training more than 20,000 volunteers and staff. The overall budget for TORONTO 2015 was about CAD $1.4 billion, so while putting on a major multi-sport Games of this size, they needed to make sure that resources were well managed and that the games stayed on budget.

The TORONTO 2015 Committee was looking for an authoring tool to build training modules and a learning management system (LMS) to deliver online training to the 20,000 volunteers and staff. In addition, the LMS would be used to track instructor-led training for about 100 physical locations within the Greater Golden Horseshoe of Southern Ontario, Canada—so TORONTO 2015 needed a blended learning portal for all the training.

The LMS also needed to integrate with GEMS, a premium Games event management software from Gold Medal Systems.

Solution

TORONTO 2015 chose two tools from Trivantis®: Lectora® Online cloud authoring tool and CourseMill® learning management system. They also used ReviewLink™, a cloud review tool from Trivantis, to work with Trivantis and YouAchieve on the content development and learning portal administration.

CourseMill and the TORONTO 2015 blended learning portal were custom branded for TORONTO 2015 to include their colors, brand, and logo.

The online portion of the training was created in Lectora Online and added to the portal.

With the assignment schedule, there were almost 12,500 individual curriculum assignments. CourseMill generated more than 100,000 system notifications for the training. During peak hours, over 2,000 concurrent users were accessing the system at any given time.

CourseMill was also successfully integrated with GEMS to share information.

Benefits

By using Lectora Online and CourseMill with the help of Trivantis and YouAchieve, TORONTO 2015 was able to successfully organize and train more than 20,000 volunteers and staff for the Pan Am/Parapan Am Games. They delivered more than 300,000 hours of learning in just over 5 months using almost 1,400 curricula, 800 courses, and 550 sessions.

Because of the overwhelming success with the blended learning portal, the TORONTO 2015 Uniform Distribution team requested assistance coordinating the distribution of more than 27,000 invitations for the Games workforce to pick up their uniforms and accreditation. CourseMill was also configured to allow the Games workforce to register for specific uniform pickup times at the Uniform Distribution Centre in uptown Toronto—a huge success.
